About the system

This system is designed to control all aspects of first aid stock management. With a specific focus on expiry dates as well as separate divisions and multiple kits. The system is designed to be as easy to use as possible while maintaining advanced functionality and automated processes. This system is still under development with many new features still to be implemented.

Each user is assigned an access level, which determines what they can do on the site.
Below are the key features for each group


The account page displays your user details such as name, email, access level and division. These details can be updated by clicking the button "Update Personal Details".
All users can update their firstname, lastname and email address. Any kits assigned to you will updated to reflect your new email.
Only users with a higher access level can change your access level. E.g. A storeperson can upgrade a member to a storeperson but not a supervisor.
Only regional supervisors and above can change your division.


To change your password simply click the button "Change Password". You will be prompted to enter your current password and the enter your new password twice.


The kits page is where you manage all first aid kits within a division.
Storepersons and supervisors can create new kits and edit existing ones. They can also create custom kit types.
Members can view any kits assigned to them and edit stock contents. They cannot edit their kit details.



Expired - Item expiry date has past and the item may no longer be used for public events. Item must be written off and replaced as soon as possible.
Expiring 30 days - Items will expire within the next 30 days (1 month). Items should be used first and divisional stores should be checked to ensure that items can be replaced once expired.
Expiring 90 days - Items will expire within the next 30-90 days (2-3 months). Add items to the next stores order. You could also tranfer stock to kits that get used more often.


Storepersons and supervisors can create a new kit and assign it to anyone within the division.
Simply select the type and owner to create the kit.
To change the user, edit the kit after it has been created.

They can also delete a kit, but only if it is empty. If it still has stock in it, you must write off or transfer it before deleting it.


Storepersons and supervisors can create, modify and delete custom kit types. These could be anything from a "backpack" kit to a "pharmaceutical" kit.
Custom kit types are only visible to your division. These cannot be shared between divisions.
The default kit types cannot be modified or deleted.

The Transfer page allows you to move stock in and out of your division, as well as between kits.
The functions are grouped into the following categories:

New Item Arrival

Bring new stock into the system. Used when receiving orders from HQ.
Scan multiple barcoded items into the same location. Must have an inbuilt camera or webcam
Record a single item into the same location. Can add multiple expiry dates & quantities.

Transfer

Move stock between kits within your division
Transfer a single item from one location to another. System will automatically pick the closest expiry date.

Use / Dispose

Remove stock from the system.
Write off multiple items from a kit. Shows all stock currently in kit.
Only displays items which have expired or are low-dated (expiring within 30 days). Quick auditing method.

Audit

Stocktake functions
Conduct a stocktake on a kit. Creates a printable report of items requiring restock
Print a detailed report of all kits. Includes current stock levels, minimum stock levels and required restock.
